The defined terms in this Policy have the same meaning as in our Master Services Agreement Terms and Conditions, which You should read together with this Policy. By accessing our Website and using our Service, You consent to the terms of this Policy and agree to be bound by it and our Terms of Use.
Wollip Digital and Design Pty Ltd (ABN: 35 689 995 702) ("Wollip Digital and Design", "we", "our", or "us") is committed to protecting the privacy of your personal and business information. This Privacy Policy outlines how we collect, use, store, disclose, and protect your information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Third-party integrations with systems like Xero, Google Workspace, Notion, Employment Hero, Microsoft 365, Looker Studio, Power BI, Coupler.io, and n8n.

Wollip Digital and Design collects Your personal information so that we can provide You with the Service and any related services You may request. In doing so, Wollip Digital and Design may use the personal information we have collected from You for purposes related to the Services including to:
Delivering our financial and advisory services to you;
Maintaining internal records, compliance, and administrative functions;
Improving our services and products;
Communicating updates, news, or insights (with your consent);
Managing our relationship with clients and stakeholders; and
Conducting data analytics and diagnostics to improve service quality (using de-identified data where appropriate).
4. Storage and Security of Your Information
We store client data securely using access-controlled systems including:
Cloud-based platforms hosted in Australia or where possible configured to store data within Australia; and
File management and communication systems with role-based permissions and two-factor authentication (2FA).
Access to client data is restricted to authorised personnel based on role requirements. Data may be stored within platforms such as Xero, Notion, Google Workspace, Microsoft 365, Employment Hero, and related systems.
In providing the Service, Wollip Digital and Design utilises "cookies". A cookie is a small text file that is stored on Your computer for record-keeping purposes. A cookie does not identify You personally or contain any other information about You but it does identify Your computer.
You can set your browser to notify You when You receive a cookie so that You will have an opportunity to either accept or reject it in each instance. However, You should note that refusing cookies may have a negative impact on the functionality and usability of the Website.

6. Data Sharing and Ownership
Unless otherwise agreed, all systems, automations, tools, and frameworks developed by Wollip Digital and Design remain our intellectual property. Clients may access data we store on their behalf, but the configuration, templates, and setup are proprietary unless separately purchased.
Client-related information stored within our systems is mutually accessible between Wollip Digital and Design and the client unless restricted by law or specific Terms and Conditions.
7. Data Retention
We retain personal and business information for as long as is necessary to deliver our services, comply with legal obligations, and support potential audits or reviews. We will review and securely delete or anonymise information that is no longer needed.
By using the Service, You agree that Wollip Digital and Design can access, aggregate and use non-personally identifiable data Wollip Digital and Design has collected from You. This data will in no way identify You or any other individual.
Wollip Digital and Design may use this aggregated non-personally identifiable data to:
· assist us to better understand how our clients are using our Services;
· provide our clients with further information regarding the uses and benefits of the Service; and
· otherwise to improve the services.
8. Access, Correction, and Communication Preferences

Wollip Digital and Design may send product information, Service updates and Service notifications to You via email. Our emails will contain clear and obvious instructions describing how You can choose to be removed from any mailing list not essential to the Service. Wollip Digital and Design will remove You at Your request.

Wollip Digital and Design is committed to protecting the security of Your personal information and we take all reasonable precautions to protect it from unauthorised access, modification or disclosure. Your personal information is stored on secure servers that have SSL Certificates issued by leading certificate authorities, and all Data transferred between You and Wollip Digital and Design is encrypted.

Transmission of personal information over the Internet is at Your own risk and You should only enter, or instruct the entering of, personal information to our Website or Us within a secure environment.

Wollip Digital and Design will make every effort to communicate any significant changes to You via email or notification via the Service. Your continued use of the Services on this Website or under any Master Services Agreement or Statement of Work will be deemed acceptance of any amended Policy.
